Nomadic Road LLC-FZ, registered in Dubai, United Arab Emirates (Nomadic Road, we, us), owns and operates www.nomadicroad.com. This policy explains what personal information we collect, why, how we use it, who we share it with, how long we keep it, and the choices and rights you have. Read it before you give us any personal information. If you do not agree with it, do not provide personal information to us. Questions and requests go to expeditions@nomadicroad.com.
Who this policy covers
This policy applies to information we process about you, whether you give it to us on the website, by email, by phone, in person, on social media, or through a travel adviser acting for you. It does not apply to other websites we link to, which have their own policies, and it does not apply to information you give directly to third parties such as airlines, hotels or our ground partners, who process it under their own policies.
What we collect
When you enquire or book, we collect the information needed to plan and run an expedition: your name, email address, phone number, country, passport details, visa documents, international driving permit, driving licence, flight and accommodation details, emergency contact, dietary requirements, and the details of anyone you book on behalf of. We also collect what you tell us in conversation and in the forms we send before departure.
Some of this is sensitive: information about your health and fitness to travel, allergies, medication, and, where a country requires it for a permit, other personal details. We ask for it only where the expedition requires it, we explain why when we ask, and by providing it you give your explicit consent for us and the partners who deliver your expedition to use it for that purpose.
When you visit the website we also collect technical information automatically: your IP address, browser and device type, the pages you visit and how long you stay, and the site you came from. Cookies and similar technologies do this; see Cookies below.
Information about other people
If you give us information about anyone else, such as the people you are booking for or travelling with, you confirm that they know how their information will be used and have agreed to your sharing it with us and with the partners who deliver the expedition.
Why we use it
- To answer your enquiry, prepare your quotation and proforma invoice, and run your expedition: this means our team, our systems, and the partners who fulfil parts of it (fleet partners, hotels and lodges, airlines and charter operators, permit offices, ground crews and destination partners) see the information they need for their part
- To send you expedition documents, briefings and pre-departure information
- To send you news and offers from Nomadic Road, if you have opted in or have enquired or booked with us; you can unsubscribe at any time
- To understand how the website is used and to improve it, using analytics and advertising tools
- To comply with the law, respond to lawful requests from authorities, protect the safety of explorers and crew, and defend our legal rights
Who we share it with
We share personal information only with the people and companies who need it to deliver what you have asked for: the partners named above, our payment platform, our customer relationship and email systems, our analytics and advertising providers, and our professional advisers. We do not sell personal information. We may share aggregated, anonymised information about site use and travel patterns that cannot identify you.
Some of these partners are outside the United Arab Emirates, including in the countries where expeditions run and in the countries where our service providers host their systems. Where information leaves the UAE, we take reasonable steps to ensure it is protected to a standard consistent with this policy and with UAE data protection law.
Cookies and advertising
The website uses cookies: session cookies that make the site work as you move between pages, and persistent cookies that remember your preferences and measure how the site is used. We use Google Analytics and Meta tools to measure visits and to show you Nomadic Road advertising on other sites based on your visit to ours, using first- and third-party cookies. You can decline non-essential cookies in the banner when you first visit, change your choice at any time in your browser, opt out of Google Analytics at tools.google.com/dlpage/gaoptout, and manage advertising preferences in your Google Ads Settings and your Meta ad preferences. If you decline cookies, some parts of the site may not work as intended.
How long we keep it
We keep booking and expedition records for as long as we need them to run the expedition, meet our legal and accounting obligations, and deal with any claim, and we keep enquiry and marketing information until you ask us to stop or it is no longer needed. Sensitive information collected for an expedition is deleted or anonymised after the expedition, unless the law requires us to keep it.
Security
We use reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access. Email is not a secure channel; think carefully about what you send us by email.
Your rights
You may ask to see the personal information we hold about you, to correct it, to delete it, to restrict or object to how we use it, to receive it in a portable form, and to withdraw consent where we rely on it. Write to expeditions@nomadicroad.com. We may ask you to verify your identity first, and we may decline a request where meeting it would breach another person's privacy or the law. If you are in the EU or UK you also have the right to complain to your data protection authority.
Marketing
If you have enquired or booked, or have signed up on the website, we may send you news, new expeditions and offers by email. Every email carries an unsubscribe link, and you may also write to expeditions@nomadicroad.com with unsubscribe in the subject line.
Children
The website is not directed at anyone under eighteen and we do not knowingly collect personal information from children through it. Information about minors travelling on an expedition is provided by a parent or guardian at booking and used only to run the expedition.
Changes to this policy
We may change this policy to reflect new law or new practice. The current version, with its revision date, is always the one on this page. Check it before you give us personal information.
